Role Description
This is a full-time, on-site role for a Patent & Trademark Docketing Executive based in Chennai. The role involves managing all aspects of patent docketing, including filing and tracking patent applications, managing timelines for patent preparation and prosecution, and coordinating patent law compliance. The executive will also support patentability assessments and liaise with intellectual property attorneys to ensure accurate documentation and filings.Trademark Management:
1. Docketing and maintenance of records of trademark, copyright and design applications, status updation,prosecution, renewals, restoration and deadline tracking.
2. Monitoring of Journal Publications and reporting to associates.
3. Document handling and processing.
4. TMR Correspondence tracking and saving.
5. Client tracking and lead docketing.
6. Responsible for working and assisting associates.
7. Convey and draft instructions to foreign counsel related to trademark matters. Coordinates with different in-house departments and supervise outside counsel to assure deadlines are met.
8. Performs searches of the Trademarks Journals and Trademarks Registries online database.
9. Support attorneys to prepare documents pertinent to oppositions, cancellations or litigations.
10. Develop and execute trademark portfolio reports.
11. The candidate prepares Trademark, Copyrights and designs applications for filing at the Registry.
12. Conduct through searches in trademark databases to identify potential oppositions to trademark applications. (Opposition Watch). Analyse search results and prepare detailed reports summarising findings.Patent Management:
- Handle cost queries and coordinate with accounts for billing and invoicing.
 - File new patent applications via the IPO e-filing and PCT modules.
 - Prepare and file all statutory forms.
 - Manage the Request for Examination (RFE) portfolio and amendment filings.
 - Prepare and file requests for addition/deletion of inventors, change of ownership (Form 6), or withdrawal.
 - Follow up with clients and IPO regarding publication corrections, LPDs, recordal documents, and recordal status.
 - Track and ensure all IPO and PCT deadlines are met within due dates.
 - Handle NBA requests and ensure compliance with biodiversity regulations.
 - Maintain detailed records of filings, correspondence, and official communications.
 
Administrative & Docketing Duties:
- Manage data entry and updates in the Docket Management System.
 - Digitize physical documents and organize electronic files systematically.
 - Generate periodic docketing reports and client-specific status updates.
 - Coordinate with internal teams and clients to ensure seamless document flow.
 
Skills & Qualifications:
Bachelor’s or Master’s degree in any discipline (Computer Science, or Data Management preferred).
Minimum 2 years of experience in patent/trademark docketing or IP paralegal work.
Strong computer proficiency — capable of handling data management systems, MS Office (Word, Excel, PowerPoint), and IP management/docketing software.
Excellent organizational skills with keen attention to detail and accuracy.
Strong written and verbal communication skills.
Ability to handle multiple priorities and meet tight deadlines.
Understanding of IPO, PCT, and trademark filing workflows.
